1. The short version
- You pay for how busy your inbox is — not per staff member, and not for features being unlocked.
- The trial is free and needs no card. Nothing starts charging until you have agreed a price.
- ChatBoss answers from what you give it, but it can still get things wrong. What it says to your customers is your business speaking.
- You can cancel whenever you want, and take your conversations and leads with you.
- If you want any of this explained in Urdu, call us — ہم اردو میں سمجھا دیں گے۔
This summary is for reading convenience. The numbered sections below are the binding version.
2. This agreement
These terms are between Northbound Technologies (“ChatBoss”, “we”) and the business using the service (“you”). They apply from the moment you start a trial or pay us, and our Privacy Policy is part of them.
ChatBoss is for businesses — a clinic, a shop, an agency, a restaurant. It does not matter whether you are a registered company or a sole proprietor working under your own name. If you sign up for a business you do not own, you are telling us you have permission to. You are also responsible for who else you give access to.
If we change these terms in a way that affects you, we will tell you at least 30 days before it takes effect. You can cancel before then if you do not accept it.
3. What ChatBoss is, and what it is not
ChatBoss reads the messages your customers send your business, replies from the material you have given it, captures leads, books appointments, and hands over to your staff when it should. It is a tool your business uses to talk to its customers — not your employee, and not part of whatever you agree with a customer through it.
ChatBoss does not give medical, dental, legal or financial advice, and must not be set up to. The agent can tell a patient your clinic timings and what a scaling costs. It cannot tell them what is wrong with their tooth.
4. The free trial
We set your agent up with you on a call and leave it running on your own number for 14 days, so you can watch it answer real customers before paying anything. No card needed.
A trial never turns into a paid account on its own. It becomes paid only once you have been quoted a price and said yes. If you say nothing, it simply ends, and we delete your data 30 days later. Ask us sooner and we will export it to you or delete it the same day.
5. What you pay
ChatBoss is priced on volume. We quote you a monthly price in Rupees based on how many people message you and how many numbers or branches you run. No setup fee, no charge per staff member, and no feature locked behind a bigger plan — the smallest account gets the same agent as the largest. Prices are exclusive of sales tax, and any WhatsApp fees Meta charges for your messages are included in your quote.
A conversation means one customer’s thread within a 24 hour window, counted once however many messages pass. Your quote states the monthly volume it assumes.
If you go over that volume, we will not cut your agent off mid-month and we will not send you a surprise bill. We will tell you and agree a new price with you first. A new price never applies to a month you have already started. If your volume drops, tell us and we will requote.
We invoice monthly, payable by bank transfer within 7 days. If you have to withhold tax at source, deduct it and send us the certificate — we will credit it against your invoice. If an invoice goes unpaid we will call you before we do anything else; if it is still unpaid 14 days after it was due we may pause the service until it is settled. We will not delete your data over an unpaid invoice.
6. What you are responsible for
For ChatBoss to work honestly, you have to hold up your end.
Keeping your information right
Your prices, timings and services are what the agent answers from. If they are out of date, it will confidently tell a customer something wrong — and that is on your business. Tell us when they change.
Not hiding that it is automated
Your customers must be able to find out that an automated assistant handles their messages, and the agent will not deny being one if asked directly.
Messaging people who agreed to hear from you
No bought lists, no scraped numbers. Broadcasts go to customers who gave you their number and can opt out. This is also what keeps your WhatsApp account alive.
Your account and your staff
Keep your access secure, and make sure the people you give it to understand they are speaking to your customers as your business.
7. The agent can be wrong
This section is separate because it matters most and gets skipped most.
ChatBoss uses AI to write replies. We build it to answer only from the material you give it and to hand over to your staff rather than guess. It is good at that. It is not perfect, and it can give an answer that is wrong, incomplete, or worded in a way you would not have chosen.
The agent speaks as your business, so what it says to your customers is your responsibility. You can read every conversation it has, and you should — especially in the first few weeks, and any time your prices or services change. Do not leave it as the only safeguard where a wrong answer would cause real harm: a medical question, a safety problem, a large payment. Route those to a person.
When it gets something wrong, tell us. Fixing how it answers is ordinary support and is included in what you pay.
8. We depend on WhatsApp, and on staying up
ChatBoss works through WhatsApp, Instagram and Messenger, which Meta runs under rules it can change without asking us. If Meta restricts or bans your business number — which usually happens when someone sends unsolicited broadcasts — the agent cannot deliver messages until that is sorted out. We will help you appeal, but we cannot overturn it.
We aim to keep ChatBoss running around the clock, because an inbox that only works in office hours defeats the point of it. We do not give a contractual uptime guarantee on standard accounts, and we cannot be responsible for load-shedding or outages at your end — though the agent keeps answering your customers whether or not your own office is online.
9. Liability
The most we can owe you for anything arising out of this agreement is the fees you paid us in the 12 months before the claim. We are not liable for lost profits, lost business, or a customer you believe you would otherwise have won. Nothing here limits liability for fraud, or for death or injury caused by our negligence.
If someone brings a claim against us because of what you put into ChatBoss or how you used it, you cover us for it.
10. Ending this agreement
You can cancel whenever you want. Tell us on WhatsApp or by email — no formal letter needed. The service runs to the end of the month you have paid for.
We can end this agreement by giving you 30 days notice, or immediately if you use ChatBoss unlawfully or leave an invoice unpaid after we have warned you.
Your conversations and leads are yours and you take them with you. For 30 days after the account ends, ask us and we will export them to you as a spreadsheet, free. After that we delete them.
11. Governing law
This agreement is governed by the laws of Pakistan, and the Pakistani courts have jurisdiction over any dispute. Before it gets that far, write to us — we will get the right people on a call, and almost everything ends there.
12. Contact us
Questions about these terms, or about your account, go to a person — not a form.
